Confidential Secretary/HR

QUALIFICATIONS:

  1. High school graduate, a minimum of (5) years of secretarial experience, and an Associates Degree preferred in Business or HR.
  2. Must be advanced in ExCEL, Word, and PowerPoint.
  3. Proficient in purchase orders and verification of funds.
  4. Ability to perform mathematical computations and reconcile.
  5. Proficient in submitting and reconciling state reports.
  6. Excellent verbal and written communication skills.
  7. Experience working with legal counsel.
  8. Ability to maintain essential/confidential records and files.
  9. Required criminal history background check and proof of U.S. citizenship or legal resident alien status.

REPORTS TO:

The Confidential Secretary/HR is directly responsible to the Executive Director of Human Resources.

JOB GOAL:

To assist and support the Executive Director of Human Resources and Human Resources Generalist in the performance of his/her responsibilities by maintaining a thorough and efficient office operation.

PERFORMANCE RESPONSIBILITIES:

  1. Collect and maintain all information pertaining to collective bargaining and have it available for review by the Executive Director of Human Resources in preparation for the collective negotiations
  2. Prepares the Executive Director of Human Resources responses related to collective bargaining, grievances, etc.
  3. Performs the usual office routines and practices to maintain a smooth operating office.
  4. Collaborates and serves as the back-up to the Human Resources Generalist to ensure all work is being processed or complete.
  5. Maintains a professional appearance and demeanor at all times.
  6. Demonstrates good professional and interpersonal skills; relates and interacts well with public and staff.
  7. Performs specific projects with minimal instruction (attendance, salary statements, staff plans, staff list, SafeSchools, mentoring, etc.)
  8. Assist with compiling and writing reports, charts, notices, and other correspondence.
  9. Prepares letters and other correspondence as requested.
  10. Obtains, gathers and organizes pertinent data as needed in a congruent format.
  11. Handles and keep in strict confidence any personal matter that may involve staff members and/or legal matters.
  12. Maintains a regular filing system, as well as, a set of locked confidential files, and processes incoming correspondence as instructed.
  13. Responsible for ordering office supplies and inputting purchase orders.
  14. Work closely with the Human Resources Generalist to ensure all legal and confidential correspondence, reports, and documents are completed in a timely manner.
  15. Responsible for registering and posting for career fairs and recruitment.
  16. Prepares the flyer and correspondence for the district job fairs.
  17. Assist the Human Resources Generalist with scheduling appointments, coordinate/arrange meetings, conferences, and staff certifications.
  18. Assist with preparing and coordinating the process of monthly board agendas for board review, and follow-up correspondence after board meetings.
  19. Maintain computer skills and stay up-to-date with human resources practices, policies, and procedures.
  20. Perform such other duties as required or assigned by the Executive Director of Human Resources.

TERM OF EMPLOYMENT:

12 Months. Salary to be determined by the Board of Education.

EVALUATION:

Performance will be evaluated in accordance with Board policies and procedures on the evaluation of professional staff.
